Dear Ms. Sebastian, and to the esteemed Management of Fiesta World Mall,
Good day po.
Allow us first to thank your office for the time and courtesy you have already extended to us. We are aware of how full the days are in running a mall of this size, and we do not take your attention lightly.
We are writing to respectfully offer a complimentary one-day training programme for the people of Fiesta World Mall — a practical, hands-on session on the use of artificial intelligence in day-to-day mall operations, provided entirely free of charge.
We understand that your organisation is already moving thoughtfully in this direction, and that your IT group has begun its own studies on artificial intelligence for the mall. We think that is commendable, and it is precisely why we have shaped our offer the way we have. Our programme is not intended to duplicate or replace that work in any way. Their study is on the systems. Ours is on the people who will one day use them — the officers, supervisors and front-line staff who carry the daily operations of the mall.
In return, we respectfully request the use of the Fiesta World Mall Theatre for the single day on which we conduct this programme. That is the whole of our request for the training itself, and we make it with full understanding that the decision rests entirely with management.
The pages that follow set out the programme, where it applies within your operations, what we are asking for, and what your organisation would receive. We have kept everything short and plain, and we would be glad to discuss any part of it at your convenience.
The AI for Operations programme is a single-day, in-house session delivered at your premises. It is not a lecture. Participants bring live work from their own desks — an actual report, an actual notice, an actual letter — and complete it during the session under our guidance.
| Format | One full day, delivered in a single session at Fiesta World Mall. Approximately five hours, inclusive of breaks. |
| Participants | Whoever your office is able to release — department heads, supervisors, officers, and staff from operations and the supporting departments. |
| Requirements | A mobile phone is sufficient; a laptop is preferable. No technical background is required of any participant. |
| Language | Simple English and Tagalog, according to the comfort of the room. |
| Cost to the mall | None. The programme is extended to Fiesta World Mall without charge. |
We have built this programme around operations deliberately. An operations team produces a great deal of written work in the course of an ordinary week — incident reports, shift turnovers, work orders, advisories to tenants, compliance letters — and it is usually produced at the end of a long shift, by people who are already tired. That is where the most time can be returned to your staff.
| Daily task | What the programme enables |
|---|---|
| Incident reports | An officer describes what happened in plain Tagalog and produces a complete, properly worded English report — ready to file, and ready for management to forward without revision. |
| Shift turnover notes | End-of-shift notes that the incoming team can genuinely act on, prepared in a fraction of the usual time and with nothing important omitted. |
| Work orders & job requests | Instructions to technicians and contractors with the scope written out clearly, reducing the disputes that arise when a scope is understood differently by each side. |
| Preventive maintenance | Checklists and schedules for air-conditioning, elevators, escalators, fire systems and generators, drafted from your own equipment list. |
| Advisories to tenants | Fire drill notices, power interruption advisories, schedule changes and house-rule reminders — courteous, clear, and issued within the same hour. |
| Permits & compliance | Letters and supporting documents for inspections, the local government and the fire department, prepared correctly the first time. |
| Safety briefings | Fresh toolbox talks and reminders for the morning huddle, rather than the same sheet repeated through the year. |
| Post-activity reports | The report following a mall event or emergency drill, completed on the day it happened. |
The same methods carry over naturally to the supporting departments:
| Safety & Security | Written incident reports, shift briefings, and English write-ups suitable for management review. |
| Engineering & Maintenance | Work orders, requests for quotation, and instructions to contractors. |
| Leasing & Tenant Relations | Leasing proposals, formal correspondence, occupancy summaries and tenant bulletins. |
| Customer Service & Concierge | Measured replies to complaints, front-desk scripts, and standing answers to recurring questions. |
| Human Resources & Admin | Job postings, initial screening of applications, interview guides, memoranda and orientation material. |
| Marketing & Advertising | Mall promotional copy, captions in English and Tagalog, event write-ups and press releases. |
| Finance & Accounting | Spreadsheet formulas prepared and explained, sales reports summarised, and collection letters drafted. |
Before the session, we would respectfully ask your office for the actual list of departments and positions attending, so that every exercise on the day draws on work your people genuinely perform.
We wish to be careful and clear on this point, because we hold your IT group's initiative in high regard.
Their study is directed at the systems — what the mall should adopt, how it should be governed, and how it should sit within your existing infrastructure. That is specialised work, and it is properly theirs. We are not proposing to advise on it, and we would not presume to.
What we offer sits one layer away from that. Our concern is the readiness of the wider organisation: the officers, supervisors and front-line staff who will eventually be asked to work with whatever your IT group recommends. In our experience, the difficulty in most organisations is rarely the choice of system. It is that the people are asked to adopt something before they have any familiarity with it at all.
Our programme is intended to build that first familiarity across your operations, so that the ground is prepared when your IT group's own initiatives are ready to be introduced. Should management find it agreeable, we would welcome the presence of your IT group on the day — whether as participants, as observers, or as co-facilitators, so that the safety and house-rules portion of the programme is aligned from the outset with whatever internal policy they have already set.
We mention the following only so that your office has a figure for its own records, and we would ask that no weight be placed upon it.
We raise it for one reason only: so that it is clear this is our standard professional programme, offered complete and unabridged, and not a shortened or lesser version prepared for the occasion. What we hope to gain is not a figure on a page, but the beginning of a long and good working relationship with your organisation, and the privilege of having served your people well.
The following is entirely separate from the training programme above, and we would ask that it be considered on its own. Should it not be possible, it would not affect our offer in any way.
In time, we hope to hold our own AI Academy events at the Fiesta World Mall Theatre. These would be paid bookings, and we are fully prepared to settle them.
We should like to say, with sincere thanks, that the rate of ₱50,000 per event, inclusive of ingress and egress, already reflects considerable generosity on the part of management for a venue of this standing. We are grateful for it, and we do not take it for granted.
We are, however, still at the early stage of introducing our programmes here in Batangas, and we are working to establish ourselves with what modest resources we have. If management should find it possible to extend even a small further consideration on that rate for our first two (2) events only, it would be of genuine help to us during this period. From our third event onward we would, of course, settle the full ₱50,000 without question.
We make this request humbly, and we will understand completely should it not be possible to accommodate. Our desire to work with Fiesta World Mall does not depend upon it.
Set out plainly, should management wish to formalise the arrangement in a simple one-page memorandum.
It would be a genuine privilege to work with Fiesta World Mall, and we are grateful for whatever time your office is able to give this letter. Should any part of it require clarification, we would be glad to attend upon your office at your convenience.
Thank you po for your kind consideration.
Respectfully yours,
